Hawk-Eye’s community association managers maintain limited portfolios in order to provide clients quality service and attention to detail with the following:
Monthly Reports and Financial Packages The assigned property manager personally compiles monthly Board packages. These packages are delivered to all Board Members at least forty-eight hours prior to the scheduled Board Meeting to ensure the Directors are all fully informed by meeting time.
Coordinate and Attend Meetings of the Board of Directors, Special Membership Meetings and Annual Membership Meeting The assigned property manager personally compiles monthly Board packages. Supervise On-site Personnel and Contractors Daily communication and monitoring of both the Association’s vendors and assigned on-site personnel is the responsibility of the community’s property manager. The manager ensures that routine maintenance services are being performed in accordance with contract specification.
Enforce Association Rules/Regulations Managers, at the instruction of their Boards and in cooperation with the various committees of the Association, are charged with communicating to membership necessary actions to ensure compliance with the community’s Rules and Regulations. All Board Members recognize that the professional manner in which violation issues are handled can make all the difference in keeping property values high and neighbor relationships healthy.
Statute Requirements and Changes Hawk-Eye Managers are constantly increasing their knowledge of Florida Statutes by attending industry educational seminars and classes. Professional Association Memberships are maintained by Hawk-Eye Management, Inc. in order to provide constant legal updates to our managers, thus enabling Association conformance with state requirements.
Review Association Insurance Requirements Managers are responsible for obtaining annual quotes for association insurance policies and making sure that coverage is sufficient and appropriate.
Evaluate Routine Association Services Managers prepare and distribute bid specifications on routine services for Board review and approval. They then distribute the specifications to at least three interested, qualified, prospective bidders. Upon receipt of the bids, the manager develops a comparative summary regarding the bids and adds any pertinent information regarding the various vendors’ qualifications and past performance history.
Thorough Property Inspections Managers personally conduct on-site inspections to maintain a current knowledge of the property. Each association has a specific tailor-made inspection report. Because of our managers limited portfolios, they are able to conduct comprehensive inspections either weekly bi-weekly. The resulted findings are included in a monthly package to the Board. Managers also immediately report any major items which need attention of the Board.
Association Correspondence The Hawk-Eye Administrative staff assists with Association correspondence, but the final responsibility for accuracy, timeliness, etc. lies with the association manager.
Emergency Services and Hurricane Procedures Your assigned manager will set up the Emergency Profile specific to your community’s needs. They then administer and ensure a 24-hour, seven day per week telephone call program. Hawk-Eye prides itself on past hurricane performance and while always hoping for a quiet storm season, our managers are ready to coordinate hurricane preparation and clean-up services when needed.
